Description of Institution and Unit

The Latin American Institute is an organized research unit operating under the auspices of the International Institute reporting to the Executive Vice-Chancellor. It is funded by the University with outside support from private foundations, government grants and private donors to stimulate interdisciplinary research and teaching activities related to Latin America on the UCLA campus. For more than forty years, the Institute has drawn upon dedicated faculty in the natural sciences, social sciences, humanities, fine arts, and professional fields to contribute to the body of knowledge on the region. The Latin American Institute and its Latin American Studies degree programs at the undergraduate and master's levels have gained national recognition for their excellence and innovation. As part of its mission, the Institute supports a publications program.
The Hispanic American Periodicals Index (HAPI) is an award-winning online bibliographic database which provides access to information from and about Latin America, the Caribbean basin, the US-Mexico border region, and Latinos in the United States. The index includes complete bibliographic citations and subject indexing for articles, book reviews, original literary works, documents, and other materials appearing in more than 650 leading scholarly journals in the social sciences and humanities published in 33 countries throughout the world. HAPI Online contains approximately 300,000+ records dating from 1970 through the present and grows at the rate of about 7,000 records per year. Current staffing includes three FTE Librarians, one part-time editorial assistant, and thirty off-campus volunteer contributors who provide most of the raw indexing data, as well as the services of the Institute's Administrative Assistant, and Distribution office.
Position Duties
Reporting to the Director, the incumbent is responsible for the following duties:
• Indexes articles written in any of six Western European languages and reviews the indexing of editorial assistants and off-campus contributors.
• Works in conjunction with the other Associate Editor to manage day-by-day operations of the index.
• Assists the Director in planning, budgeting, marketing, and documentation.
• Corresponds with contributors, publishers, and subscribers as needed.
• Produces reports from HAPI's database.
• Conducts online bibliographic research.
• Prepares content for the HAPI website.
• Assists in the training of off-campus contributors and preparation of training materials.
• Advances awareness of HAPI through participation in professional meetings and other forums.
• Oversees special projects as needed.
Required Qualifications
• ALA-accredited Master's Degree in Library or Information Science OR significant graduate-level coursework toward such a degree OR equivalent education and experience (subject expertise combined with professional library education and/or experience)
• Subject expertise and/or coursework in Latin American studies or equivalent experience working with Latin American materials.
• Working/reading knowledge of Spanish and/or Portuguese.
• Orientation to detail and proficiency for accuracy.
• Demonstrated proficiency and capabilities with personal computers, standard office software, the Web.
• Excellent analytical, organizational, time, and project management skills.
• Excellent oral and written communication skills and interpersonal skills.
• Ability to work creatively, collaboratively, and effectively both as a team member and independently and to promote teamwork among colleagues.
• Commitment to fostering a diverse educational environment and workplace and ability to work with a diverse student and faculty population.
• Capacity to thrive in the exciting, future-oriented environment of a world-class research institution and to respond effectively to changing needs and priorities.
• Commitment to professional issues, demonstrated through strong interest in local or national committee work, research, publication, etc., in indexing, scholarly communication, or in an area of subject expertise.
Desired Qualifications
• Indexing or cataloging experience.
• Thorough knowledge of grammar, spelling, punctuation, and accentuation in English, Spanish, and Portuguese.
• Working/reading knowledge of German, French, or Italian.
• Familiarity with MySQL.
General Information
Professional librarians at UCLA are academic appointees. Librarians at UCLA are represented by an exclusive bargaining agent, University Council – American Federation of Teachers (UC-AFT). This is a represented position. They are entitled to appropriate professional leave, two days per month of vacation leave, one day per month of sick leave, and all other benefits granted to non-faculty academic personnel. The University has an excellent retirement system and sponsors a variety of group health, dental, vision, and life insurance plans in addition to other benefits. Relocation assistance may be provided.
Appointees to the librarian series at UC shall have professional backgrounds that demonstrate a high degree of creativity, teamwork, and flexibility. Such background will normally include a professional degree from an ALA-accredited library and information science graduate program. In addition to professional competence and quality of service within the library in the primary job, advancement in the librarian series requires professional involvement and contributions outside of the library, and/or university and community service, and/or scholarly activities. Candidates must show evidence or promise of such contributions.
